A Pharmacy in Kampala — Full Inventory Control

How a large pharmacy eliminated medication waste and achieved full control over thousands of SKUs

Sector: Pharmacy
Location: Kampala, Uganda
Scale: Thousands of pharmaceutical SKUs

The Challenge

The pharmacy manages a vast list of medications, each with different expiry dates, different minimum stock levels, and different suppliers. Inventory was managed manually on notebooks and simple spreadsheets. The painful consequences: drugs expiring on the shelves unnoticed, sudden shortages of essential medications when patients arrived, and silent financial losses that were hard to measure.

The Solution

We built a smart inventory system specialized for pharmacies. Every item is registered with a barcode, expiry date, minimum quantity, and primary supplier. The system automatically alerts the team well before expiry (configurable per drug type) and automatically requests reordering when a stock level reaches its minimum.

Results After 3 Months

  • Zero expired medications in stock after the first complete cycle.
  • Automatic alerts reaching the responsible manager weeks before a purchase is needed.
  • Daily reports of sales and inventory generated automatically and delivered to management every morning.
  • 45% improvement in purchasing efficiency — buying what the branch actually needs, when it needs it.
"For the first time, we know our real inventory. Before the system we relied on memory and intuition; now we rely on accurate numbers updated in real time."
